Privacy Policy
1. Who we are and what this policy covers
Zip Chores, LLC operates zipchores.com and the Zip Chores software: the website, quote desk, schedule, customer portal, crew app, invoicing, and payment system for service businesses. This policy explains how we handle personal information when you visit our sites, create or use an account, use the business, customer, or crew portals, or book through a business's Zip Chores-powered site.
It applies to Zip Chores, LLC as the operator of the Service. It does not apply to a business's own practices outside the Service, to the records a business keeps elsewhere, or to third-party websites and services we link to. Questions and requests: hello@zipchores.com.
2. Our role: controller and processor
For account, billing, and website-visitor information, Zip Chores, LLC is the controller (or a business) that decides how the information is used. For the records a business creates about its own customers inside the Service (Customer Data), Zip Chores, LLC is a processor acting on the business's documented instructions, and the business is the controller. We handle those records only to provide, secure, and support the Service, under our agreement with the business and this policy.
If you are an end customer of a business, that business is responsible for its records about you. Please contact the business first; we will support it as its processor, and we will help you reach it if needed.
3. Information we collect
- Account and business information: name, email address, phone number, business name and details, roles, and sign-in and session information.
- Business content: services, rates, quote rules, service areas, team members, website pages, and branding.
- Customer, booking, and job records: names, contact details, service and billing addresses, service requests, appointments, notes, quotes, jobs, invoices, and messages a business records.
- Payment information: card details are collected and processed by Stripe. We store payment method references, payment status, and Stripe account identifiers, not full card numbers.
- Communications: the content and delivery metadata of transactional email and SMS, and messages sent through the Service.
- Usage, device, and log information: IP address, device and browser details, pages and actions, timestamps, and error and security logs.
- Location and address information: service and billing addresses, geocoded locations for scheduling and routing, and, only while a crew member has a timer running, precise device location as described in the Location information section.
- Cookies and similar technologies, as described in Section 5.
4. How we use information and our legal bases
We use information to provide, operate, and secure the Service; authenticate users; price, quote, schedule, and route work; process payments through Stripe; send transactional messages; provide support; prevent fraud, abuse, and security incidents; comply with law; and improve the Service. We do not sell personal information, and we do not use Customer Data to advertise.
Where the EU or UK General Data Protection Regulation applies, we rely on these legal bases: performance of a contract (providing the Service you or your business asked for); legitimate interests (operating and securing the Service, preventing abuse, and improving the product, balanced against your rights); consent (non-essential cookies and marketing where consent is required); compliance with a legal obligation; and, in rare cases, protection of vital interests. You may withdraw consent at any time where consent is the basis.
5. AI-assisted features
Some features use artificial intelligence to draft replies and answer questions. When a business uses those features, the message text is stripped of email addresses, phone numbers, postal codes, street addresses, and common name introductions before it is sent to our AI provider, OpenRouter, which routes it to a model provider. The structured contact form is not sent to the model. We use the output only to produce the reply the business sees. We do not use Customer Data to train, fine-tune, or improve any Zip Chores, LLC or third-party AI model unless the business instructs us in writing, and our contract with the provider does not permit training on that data. You can ask a business to handle your request without AI assistance.
6. Location information
The crew app records a crew member's precise device location only while that crew member has a timer running, so the business can see where its crew is while on the clock and plan routes. The business enables this through the crew app and can turn it off. Fleet integrations may also collect vehicle location, trips, safety events, and dashcam media from a provider the business chooses. We process that information for the business as its processor. Crew members can review the worker and location notice in the crew app, and location sharing stops when the timer stops.
7. Cookies and similar technologies
We use strictly necessary cookies and local storage for sign-in sessions, security, and preferences. These are required for the Service to work and are used without consent where the law allows.
Our corporate site may use privacy-friendly, aggregate analytics to understand which pages are useful. If we introduce non-essential analytics or advertising cookies, we will ask for consent where required and provide a way to manage your choices. You can also control cookies and local storage through your browser settings, though some features may not work without them.
8. How we share information
- Service providers (subprocessors): Stripe for payments and connected accounts; cloud hosting, storage, and content-delivery providers; email and SMS delivery providers; Google Maps for address and map features; and error-monitoring and analytics providers. These providers process information on our behalf under contract, or under their own terms where they act independently.
- With your business: a business sees the records it and its customers create in its account.
- Legal, safety, and enforcement: to comply with law and lawful requests, enforce our terms, protect the rights, property, and safety of Zip Chores, LLC, our users, and the public, and detect and prevent fraud and abuse.
- Business transfers: in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of the transaction, subject to this policy.
- Aggregated or de-identified information that does not identify you or your customers.
- Subprocessors: the current list of subprocessors, their purpose, location, and transfer mechanism is published at /subprocessors. The processor terms that govern their engagement and our processing for a business are in our Data Processing Addendum at /dpa, which includes the Standard Contractual Clauses and the UK and Swiss addenda.
9. International data transfers
Zip Chores, LLC is based in the United States and processes information there and in the locations of our service providers. Where we transfer personal data from the European Economic Area, the United Kingdom, or Switzerland to a country without an adequacy decision, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses, the UK Addendum, and additional technical and organizational measures where required.
10. How long we keep information
We keep account and business records while the account is active and for a reasonable period afterward for backups, legal, tax, accounting, and dispute-resolution obligations. Retention periods depend on the type of record and what the law requires. When we no longer need information, we delete it or de-identify it. Records a business controls are retained according to that business's instructions and its own obligations.
11. Security
We use administrative, technical, and physical safeguards designed to protect information, including access controls, least-privilege access, encryption in transit, encryption at rest, logging and monitoring, and vendor review. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security. If you believe your account or information has been compromised, contact us promptly at hello@zipchores.com.
12. Your rights and choices
Depending on where you live, you may have rights over your personal information, including the rights to access it, correct it, delete it, port it, restrict or object to its processing, and withdraw consent. California residents have the rights to know, delete, correct, and limit the use of sensitive personal information, to opt out of the sale or sharing of personal information, and not to be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined by the California Consumer Privacy Act, and we honor Global Privacy Control opt-out signals on the corporate site.
To exercise a right, email hello@zipchores.com. We will verify your request and respond within the time required by law. You may use an authorized agent. If you are an end customer of a business, contact the business first; we will support it as its processor.
You can opt out of non-essential email at any time. Transactional messages about bookings, invoices, and security continue because they are needed to operate the Service, and you may not be able to opt out of them while you use the Service.
13. Children's privacy
The Service is built for businesses and their adult customers. It is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided personal information to the Service, contact us and we will delete it.
14. Complaints
If you are in the European Economic Area, the United Kingdom, or Switzerland, you have the right to lodge a complaint with your local supervisory authority. We would appreciate the chance to address your concern first at hello@zipchores.com.
15. Changes to this policy
We may update this policy as the Service and the law change. We will post the new version with a new effective date and, for material changes, provide notice where required. Your continued use of the Service after an update means you accept the updated policy.
16. Contact
